Assigning and Managing Action Items Overview

Advisors can assign Action Items for individual clients, specific groups, or entire templates in the Schedule.

Our Action Items interface provides an overview of all active tasks, with filtering options to focus on specific action statuses or contacts, making it easy to follow up. Pending, completed, and overdue items are clearly organized for easy tracking.


Action Items Use Cases

✅ Onboarding Tasks

Prompt clients to complete necessary forms or upload documents, ensuring smooth onboarding.

✅ Schedule Portfolio Review

Assign a task to clients reminding them to prepare or gather documents for an upcoming portfolio review.

✅ Preview Meeting Agenda

Send clients a task to review and confirm the agenda before an upcoming meeting, ensuring alignment.

✅ Milestone Celebrations

Assign tasks that acknowledge key client milestones, such as investment anniversaries or major life events.

✅ Document and Tax Form Updates

Notify clients when it's time to review or update legal and financial documents, including tax forms or beneficiary designations.

💡Tip: We recommend you create and assign your Action Items via the Schedule, but you can also create them for individual Contacts in the Action Items module.


Assign Action Items via the Schedule

Schedule an Action Item as a Task

  1. Navigate to Schedule.

  2. Click Schedule Task.

  3. Click Action Item.

  4. Select a pre-defined Action Item or create a Custom Action Item.

  5. Select who should receive it. (Contacts, Tag, or Template)

  6. Select Send Now or Schedule, if you choose Schedule, select your Date and Time.

  7. Click Save.


Manage Action Items

Manage your Client's Action Items
  1. Navigate to Action Items.

  2. Use the Contact and Status filters to view desired information.

    1. Search by specific Contacts.

    2. Search by Status: Completed, Pending, or Overdue.

  3. Click Search.

  4. Click the Actions button of any Action Items to:

    1. Mark Complete

    2. Send a Reminder

    3. Edit

    4. Delete

  5. Click Create New Action Item to create and assign an Action Item for a specific Contact.
