Schedule Action Items
Navigate to Schedule.
Click Schedule Task.
Click Action Item.
Select a pre-defined Action Item or create a Custom Action Item.
If Custom Action Item, give it a Title
Select who should receive it. (Contacts, Tag, or Contact Type)
Select Send Now or Schedule, if you choose Schedule, select your Date and Time.
Click Save.
Action Item Audience Selection
Tags
When you select one or more tags as your audience, your Action Item will be sent to all contacts associated with those tags who are linked to you as their primary or secondary advisor.
This includes contacts across any template where you are assigned as an advisor or team member.
It’s an efficient way to assign tasks to multiple clients at once!
Contacts
When you choose individual contacts as your audience, you have complete control over who receives your Action Item.
Simply select one or more specific contacts from your list by typing in their name.
Contact Type
This is ideal for assigning personalized tasks to a particular client or small group, ensuring your action items reach exactly who you intend.
When you choose a contact type as your audience, you can target groups based on their relationship to your business, such as clients, prospects, or leads.
Simply select the contact type(s) (Client, Prospect, Leads) you want to include, and all contacts that match that classification will be included automatically.
This is ideal for delivering consistent tasks or communications to a defined segment of your book without selecting contacts individually.
Action Item Timing Selection
With action item timing selection, you have two options for when your task is delivered:
Send Now: Your action item will be sent immediately to your selected audience.
Schedule: Choose a specific date and time for your action item to be delivered, allowing you to plan and assign tasks at the right moment.
This flexibility gives you control over your workflow, making it easier to manage your task assignments.
View and Manage Action Items
To view and manage your action items, go to the Action Items module from the navigation menu. Here, you can see all action items you've assigned or received, including those that are scheduled, completed, or pending.
From this module, you can:
Review details of each action item, including its audience, delivery status, and scheduled time.
Edit or reschedule pending action items as needed.
Track completion and follow up on tasks to ensure they’re being addressed.
The Action Items module gives you a comprehensive view of your tasks, making it easy to stay organized and keep track of ongoing responsibilities.
