Build a Communication Rhythm

Turn Consistent Communication Into a Competitive Advantage

Updated over 2 weeks ago

🧠 Why Rhythm Matters

A good rhythm isn’t just about being active—it’s about being relevant.

Deliver the right message at the right time.

Use a mix of tools (Messages, Action Items, Reminders, and the Feed) to reinforce key moments.

Track client engagement and adjust based on real-time feedback

💡 Think like a service model: How often do your clients need to hear from you and your team to feel supported, guided, and in control?

Use Posts to Broadcast Updates

Posts are visible on the client's app Feed—like a social feed. They’re ideal for updates you want clients to see, revisit, and reference. Contacts can like and reply to Posts on their Feed.

Use Posts for:

Market updates or commentary
“Here’s what’s happening in the markets this week...”

Key firm announcements
“Our office will be closed for the holiday...”

Monthly education content
“5 habits of financially confident people”

FAQs and seasonal reminders
“Don’t forget to max out your Roth IRA before April 15!”

Posts can be written by the advisor or come from the firm. They help clients stay informed without needing a direct message.

📆 Schedule posts from the Schedule, or directly to a Contact's personal Feed.

Use Messages for Personal Touchpoints

Messages are private, real-time, and feel like texting. Great for high-trust moments and client-specific interactions.

Use Messages for:

1:1 follow-up after a meeting
“Great to connect—here’s that resource we discussed.”

Group conversations with clients and their partners
“Hi Sam and Jessie—attached is the updated retirement plan.”

Gentle nudges
“Just checking in—did you have a chance to complete the onboarding form?”

Team messaging
“Hi Sam and Team, just looping everyone in—Sam, we’re reviewing your recent questions on the billing statement. [Advisor Name], [CSA Name] will coordinate with Finance and keep you updated.”

Your team setup defines who can message whom—updates to a client’s assigned team automatically reflect in shared threads.

Use Action Items to Drive Accountability

Action Items show up in the client app as a to-do—clear, trackable, and actionable.|

Use Action Items for:

Uploads
“Please upload your latest tax return”

Confirmations
“Review and approve your retirement projections”

Admin tasks
“Complete onboarding questionnaire before Friday”

Recurring tasks
“Schedule your annual review”

Each Action Item has a due date and completion status, helping both you and the client stay on track.

Use Reminders to Nudge Behavior

Reminders are push notifications designed to prompt action. They can be firm-created or selected from pre-set templates.

Use Reminders for:

Prompting clients to complete Action Items
“Have you uploaded your latest statements?”

Encouraging check-ins
“We’re here when you need us—send a message anytime”

Time-sensitive nudges
“Have questions about open enrollment? Let’s chat”

Reminders appear as push notifications on the client’s phone and also show up on the app homepage.

Use Schedule to Automate Your Cadence

The Schedule tool brings all of this together. Plan your communication flow ahead of time, so clients experience timely, consistent engagement.

🧩 Schedule Creates a Cadence—at Scale

The Schedule tool lets you map out and automate consistent, strategic communication across your entire client base—or just to the segments that need it most.

You can build parallel cadences for different groups by scheduling touchpoints based on Tags or Contact Types, so the right people get the right message at the right time.

Examples of Multi-Track Scheduling

Clients (Contact Type)
→ Monthly market recap post
→ Quarterly action item to upload statements
→ Annual reminder to schedule a review

Prospects (Contact Type)
→ Weekly value-driven message
→ Reminder to book an intro call
→ Action item: “Complete new client interest form”

High Net Worth (Tag)
→ Message: “Time to explore tax-loss harvesting?”
→ Custom action item: “Review charitable giving strategy”

Small Business Owners (Tag)
→ Post: “What the new SEP IRA rules mean for you”
→ Reminder: “Schedule Q3 tax planning session”

This structure enables your firm to operate with clarity and consistency—even across complex books with diverse client needs. You can layer these cadences to match your business goals: onboarding, engagement, reactivation, education, retention.
